Privacy Policy

This Privacy Policy explains how the MyCEDoc platform, accessible at mycedoc.um6p.ma (hereinafter the “Platform”), collects, uses and protects your personal data. The Platform is the intranet of the Center for Doctoral Studies (“CEDoc”), a department of University Mohammed VI Polytechnic (“UM6P”).

We process personal data in compliance with Law No. 09-08, enacted by Dahir No. 1-09-15 of 18 February 2009, relating to the protection of individuals with regard to the processing of personal data, and under the control of the National Commission for the Control of Personal Data Protection (CNDP).

Data Controller

The data controller is University Mohammed VI Polytechnic S.A., a public limited company incorporated under Moroccan law, with its registered office located at Lot 660, Hay Moulay Rachid, Ben Guerir, Morocco, registered with the Commercial Register of Ben Guerir under number 1037, acting through its Center for Doctoral Studies (CEDoc).

Personal Data We Collect

Depending on your role and the services you use, we may collect the following categories of personal data:

  • Identity and civil status: first and last name, full name in Arabic, gender, date and place of birth, nationality, national ID (CIN) or passport number, and profile picture.
  • Contact details: institutional email address, phone number and home address.
  • Academic and administrative data: role, research structure/department, campus, thesis subject, thesis director and co-directors, thesis start and end dates, scholarship status, diploma information and country, joint-supervision details, and, where applicable, bank details (RIB) required to pay a scholarship.
  • Supporting documents: such as a scanned ID, diploma, scholarship contract, equivalence certificate, bank statement (RIB), anthropometric sheet (criminal record) and joint-supervision agreement.
  • Connection data: technical data strictly necessary for authentication and session management.

Purposes of Processing

Your personal data is processed in order to:

  • create and manage your account and verify your eligibility;
  • manage your doctoral journey (registration, supervision, training, thesis defense, missions and related procedures);
  • generate official documents on your behalf, such as scholarship contracts, academic certificates and attestations, orders of mission and thesis-defense documents;
  • communicate with you and send you notifications related to your file;
  • comply with the legal, administrative and archiving obligations of UM6P.

Legal Basis and CNDP Authorization

The processing is based on Law No. 09-08, on your consent given when you complete your profile, and on the legitimate interest and legal obligations of UM6P in managing doctoral studies. This processing has been authorized by the CNDP under authorization number D-469/2024.

Providing your consent is a condition for using the Platform: if you do not consent, your data will not be processed and the corresponding documents cannot be generated.

Recipients of the Data

Your data is accessible only to authorized CEDoc staff and to the UM6P departments involved in processing your file (for example for validation, scholarship or mission purposes). Where a document includes a verification link or QR code, only the limited information needed to confirm the document’s authenticity may be displayed. We do not sell your personal data and do not transfer it for commercial purposes.

Data Retention

Your personal data is kept for the time necessary to manage your doctoral journey and to fulfil UM6P’s legal and administrative obligations. Beyond that period, the data is either archived in accordance with applicable rules or deleted.

Data Security

UM6P implements appropriate technical and organizational measures to protect your personal data against unauthorized access, loss, alteration or disclosure, including access control, authentication and restricted access based on roles.

Your Rights

In accordance with Law No. 09-08, you have the right to access and rectify your personal data, and, for legitimate reasons, to object to its processing. You may also request the deletion of your data, subject to UM6P’s legal and archiving obligations.

These rights may be exercised by contacting UM6P at mycedoc@um6p.ma. You also have the right to lodge a complaint with the CNDP.

Cookies

The Platform uses only cookies that are strictly necessary for authentication and for maintaining your session. These cookies do not serve advertising purposes.

Updates to this Policy

UM6P / CEDoc may update this Privacy Policy at any time. Each modification is published on the Platform with an updated date. We encourage you to review this page periodically.
